  • Global organisation positioned as one of the leaders in their field 

  • Direct report to HR & Facilities Manager who is part of the local Executive Committee

  • Support the HR team with various HR admin | coordination activities, WHS, facilities maintenance, and internal events coupled with overseeing the Receptionist & front-of-house operations

  • Opportunity to consolidate & develop your office operations and | or HR admin or WHS experience

  • Approx. 100 staff on-site in Sydney incorporating functions across office & warehouse | production

  • New offices in Kingsgrove + on-site parking

Your Role:

Reporting to the HR & Facilities Manager, you will be responsible for creating a safe, welcoming, and well-run workplace through the direct management of the front-of-house operations (and Receptionist) and supporting the HR team across coordination, WHS, facilities maintenance | security, and internal events.

Some of your responsibilities will include:

Office & Reception Management:

  • Supervise and support the Receptionist to ensure smooth day-to-day front desk operations

  • Monitor service standards and ensure a professional, welcoming experience for visitors and staff

  • Oversee office and warehouse presentation, meeting room coordination, and general facilities management

  • Liaise with building management for maintenance and services

  • Ensure office supplies, equipment, and communal areas are well maintained

  • Oversee building access and follow the security protocols set by IT

 WHS Management:

  • Act as the primary contact for WHS matters within the office

  • Maintain WHS registers, incident reports, and safety documentation

  • Coordinate safety audits, risk assessments, and emergency procedures

  • Support implementation of WHS policies and staff training

Event Management:

  • Plan and execute internal events including staff celebrations, town halls, and training days

  • Collaborate with HR and leadership to align events with company culture and values

 VIP Travel & Platform Implementation

  • Manage travel arrangements for executives and VIP guests, including flights, accommodation, ground transport, and itineraries

  • Prepare travel documentation and provide on-call support for urgent changes or issues

  • Research, recommend, and lead the implementation of a company-wide travel management platform to streamline bookings, approvals, and reporting

  • Develop internal processes and training materials to support adoption of the platform across teams

Fleet Management:

  • Oversee the management of the company’s vehicle fleet, including scheduling maintenance, tracking usage, motor passes, and ensuring vehicles are well-maintained and compliant with company policies.

 HR Coordination:

  • Assist with onboarding and offboarding processes, including documentation and induction scheduling

  • Support employee engagement initiatives, training sessions, and wellbeing programs

Required Skills & Experience:

  • Previous office coordination | admin experience and | or HR admin, or WHS, experience

  • Tertiary qualifications in a relevant field preferred

  • Experience working in a medium to large workplace and good understanding of office protocols and safety

  • Proficiency in MS Word & Excel

  • Experience implementing office efficiencies and travel management an advantage
